1. Data Controller
The data controller is Sergas. For any questions regarding your personal data, contact us at the email address provided on our Contact page.
2. Data We Collect
We collect data you provide directly: name, company name, email address, phone number, and any notes submitted via our forms. When you book a meeting, we also store the selected time slot and calendar event details. If you accept all cookies, we also process technical and usage data (including pseudonymous identifiers) for analytics and, where you submit a form, hashed contact details for conversion measurement, as further described in this policy.
3. Purpose of Processing
Your data is processed to: (a) respond to your inquiries, (b) schedule and manage meetings, (c) send booking confirmation emails, (d) measure website traffic, form conversions, and ad effectiveness, and (e) improve our services. The legal basis is your consent where we use non-essential cookies and marketing/ads measurement (Art. 6(1)(a) GDPR), and our legitimate interest in running the site, security, and providing requested services (Art. 6(1)(f) GDPR) where applicable.
4. Cookies
We use strictly necessary cookies for site functionality (e.g. admin authentication, your cookie choice). If you choose “Accept all”, we also load optional technologies that may set first-party and third-party cookies (or similar local storage) for Google Analytics, Google advertising tags if configured, and Meta (Facebook) Pixel, including cookies such as _fbp / _fbc where the providers set them. You can change this later only by clearing site data or using browser controls; our banner does not offer a per-vendor control beyond necessary vs. all optional tools.
5. Analytics and marketing measurement
With your consent, we (1) use a first-party analytics system: page views, scroll depth, and interaction events are stored in our own database, using a non-identifying visitor hash for sessions. (2) We use Google Analytics 4 to understand traffic and, if configured, Google Ads conversion events. (3) We use Meta Pixel in the browser and, when you submit a contact or booking form, Meta’s Conversions API on our server with a hashed version of the email/phone you provided and an event ID to measure conversions and help attribute ads. If you do not accept all cookies, these optional tools are not loaded and those transmissions do not take place. Providers may process data in the EEA, UK, the United States, or other countries; where required, transfers rely on the Standard Contractual Clauses, the EU–US Data Privacy Framework where applicable, or other mechanisms offered by the provider.
6. Your Rights (RODO/GDPR)
Under GDPR you have the right to: access your data, rectify inaccurate data, request erasure, restrict processing, data portability, and object to processing. To exercise any of these rights, contact us via the Contact page. You also have the right to lodge a complaint with the supervisory authority (UODO in Poland).
7. Data Retention
Contact form submissions and booking data are retained for 2 years from the date of submission, after which they are permanently deleted. Analytics data is retained in aggregated form and individual session records are purged after 12 months.
8. Contact
